RecFind-Corporate provides the secure corporate store for all other RecFind products.

Technical Description

RecFind-Corporate is a new (first released June 2001) fully 32bit information management client-server product designed and written to the latest Microsoft standards. The client runs on any Microsoft 32-bit client platform (e.g. Win95, Win98, and Win2000). The application server runs on Microsoft NT 4.0 server or Windows 2000 server. The relational database can either run on NT 4.0 or NT 2000 (SQL Server 7 or SQL Server 2000 or Oracle 8) or a Unix platform (Oracle 8 only). The RecFind client 'talks' to the RecFind server via TCP/IP and to the database via ODBC. The application is written in VB6 and C++.

Limitations

There are no limitations on the number of concurrent users or the number of objects that can be managed by RecFind. The only limitations are those imposed by hardware and bandwidth.

RecQuery-TC

Multi-user, thin-client (browser resident client), three-tier client server inquiry tool for RecFind-Corporate. RecQuery-TC accesses the RecFind-Corporate database via a LAN, WAN, Internet, Intranet or Extranet. Because it runs within a browser (Microsoft Internet Explorer) RecQuery-TC provides instant access to the enterprise store of documents from anywhere a network or an Internet connection is available. RecQuery-TC is a true document portal providing access to your corporate data from anywhere in the world. RecQuery-TC is the ideal low cost way to provide enterprise-wide access to your corporate information store.

RecQuery-TC functionality includes:

  • The ability to access, view, print and copy (save as) all objects within the RecFind-Corporate database, including Metadata, paper records, electronic documents, images and WorkFlow records
  • Sophisticated Boolean searches on Metadata and the full text of electronic documents
  • Check-In, Check-Out functionality for electronic documents

The client runs within Microsoft Internet Explorer on any Microsoft 32-bit client platform (e.g. Win95, Win98, and Win2000). The business objects (web) server runs on Microsoft NT 4.0 server or Windows 2000 server under IIS (Microsoft's web server). The application is written in VB6, C++, JavaScript, HTML and (secure) ActiveX.

Limitations

RecQuery

Multi-user, fat-client, client server inquiry tool for RecFind-Corporate. RecQuery accesses the RecFind-Corporate database via a LAN or WAN. RecQuery provides instant access to the enterprise store of documents from anywhere a network connection is available. RecQuery is the ideal low cost way to provide enterprise-wide access to your corporate information store.

RecFind-Button

The RecFind-Button is the world's easiest to use electronic document capture tool. The RecFind-Button 'sits-on' your desktop and allows you to quickly and easily capture any electronic document and store and index it into the RecFind-Corporate database.

In addition, the RecFind-Button allows you to either create document profiles (Metadata) or search for existing document profiles. It also includes Check-In and Check-Out for RecFind's electronic document management.

GEM

A revolutionary, rules driven email management tool. GEM is an electronic document management system specifically written to address the unique nature of e-mails. GEM connects directly to your email server via a highly efficient agent and analyses each and every email sent and received according to a set of rules constructed by you. GEM allows you to easily capture all corporate e-mails and just as easily ignore all unimportant e-mails. The e-mails are captured, stored and indexed in GEM's (or RecFind-Corporate's) relational database. The GEM client, GEM-TC is a thin client (browser resident) product giving you instant access to all corporate e-mails from anywhere in the world.

GEM includes:

  • A relational database based on Microsoft SQL Server 7 or 2000
  • Administrator management functions allowing you to configure your database, create folders, Metadata, WorkFlow and retention rules
  • A thin client inquiry tool, GEM-TC, providing access to all corporate e-mails via a five level security system and a sophisticated Boolean search on all fields in the email plus the full text of any attachments
  • Standard, automatic reports on email statistics, exceptions (those e-mails bypassing your rules so you can improve your rules) and errors noted on your email server

Asynchronous Indexing Module (AIM)

The AIM module is a unique LAN and WAN performance tool designed by GMB to reduce RecFind-Corporate transactions times by up to 95%. Change a 10 second response time to a 1 second response time by installing the AIM engine. Even more importantly, reduce RecFind's load on a WAN by up to 95% providing improved response times to all users.

The AIM engine is provided free to all RecFind-Corporate users.

Note that the AIM engine requires one RecFind-Corporate concurrent user license.

The AIM Engine:

  • Takes the word and phrase indexing processing off the workstation (and therefore off the LAN or WAN)
  • Allows you to configure the time periods and frequency of the AIM engine (avoiding conflict with system backups for example)
  • Runs on a low cost Win98 or Win2000 workstation
  • Reduces the time of RecFind add and modify transactions by up to 95%, e.g. 10 seconds to 1 second
  • Significantly improves operator productivity saving hours per day

OLE 2.0 Engine

The OLE 2.0 engine is written to the Microsoft OLE 2.0 standard and is an object oriented tool for easily adding to or reading from the RecFind-Corporate relational database. In effect, RecFind-Corporate is an OLE 2.0 compliant server and client. The OLE 2.0 engine comes with sample VB code simplifying the task of writing simple VB clients for 'foreign' (non-RecFind) applications. The OLE 2.0 engine allows you to easily, quickly and automatically process RecFind File folder profile and Document profile objects. The OLE 2.0 engine is an ideal way to transfer file folder and document profile information (Metadata) from and to other applications (e.g. the inventory system or payroll system).

The OLE 2.0 Engine is:

  • Microsoft OLE 2.0 compliant
  • Easy to use
  • Able to be run manually, on demand or automatically

The RecFind High Speed Scanning Module

The RecFind High Speed Scanning Module (HSSM) is ideal when the volume of documents to be scanned is greater than can be handled by using scanners attached to a RecFind workstation under the control of an operator (on a page by page basis).

The HSSM was originally designed for the Canon 3020 scanner (40-50 pages per minute) and has been extensively tested on this scanner range. It should also work fine on other similar scanners with TWAIN drivers (we do not support ISIS drivers) BUT it is up to the distributor/sales person to test the product on other scanners before offering the combination to a prospect.

The HSSM has two modules:

  1. DocScan; and
  2. RecScan

DocScan is the module that controls the scanner during the scanning process and contains the code that recognizes the identifying barcode (in Code3of9 only) on the first page of the document. You configure DocScan by telling it the coordinates of the barcode. DocScan will then assume that all pages (without a barcode) following a page with a barcode are subsequent pages of a single document. It will store all such pages as a multi-page TIFF file using the barcode as the identifier.

RecScan is the module that processes the multi-page TIFF files created by DocScan and attaches them to the RecFind-Corporate database. If the barcode is the same as the document registration number of an existing document profile in RecFind-Corporate it will automatically attach the images to that document profile (the images are then automatically indexed by the Metadata in that same document profile). Alternatively, it can create new document profiles where there is no match with the barcode number.

The HSSM is the ideal way to handle high volumes of scanning with minimal operator intervention.

The RecFind-Corporate Suite (RCS)

Where a prospect is looking for an integrated information management solution, comprising records management, electronic document management, imaging and workflow then this is the ideal 'package'. It comprises all of the products typically bought by this kind of user to provide a complete solution. It is also cheaper to buy this selection as a suite than to buy them individually. Because of the price-effective packaging it should also be easier to market and sell.
