Price Book Explanation
Instruction on using the price schedules
The attached GMB Price List program will calculate the prices for all GMB software products as well as Automatic Software Upgrades (ASU) for either 1, 2, 3, 4 or 5 years.
Note that the program prices are all tax exclusive and ISYS inclusive. That is, you will need to add all locally applicable taxes (such as the GST and VAT) AND products such as RecFind-Corporate, RecQuery, RecQuery-TC and GEM include the ISYS full text search facility as a standard feature.
Definitions
- Concurrent User License
- Most GMB software products work on the basis of a concurrent user license. This means that the prospect buys the right to have a finite number of people use the product at any one time. RecFind doesn't care who those people are (other than they have to have a valid user-id and password) and nor does it care which work station they work from. If a customer has a 32 concurrent user license RecFind continually counts the number of people 'signed-on'. It will allow a maximum of 32 people to sign on at any one point in time and no more.
- Per-Seat License
- Only one GMB software product has a per-seat license and that is the RecFind-Button. This is because of technical issues, not marketing ones. Part of the Button is a macro that installs on a workstation. The Button can't work if the macro isn't installed at the workstation. So if a customer buys 32 Button licenses the customer has to decide which workstations will have the Button installed. Each Button has a unique serial number and RecFind will not allow you to install a Button on more than one workstation.
- Named User License
- This is another way to license software where a particular user is licensed and this user may move from workstation to workstation. GMB does not use this method.
- Annual Maintenance
- This is a general term used by the industry and it can mean many things. In GMB's case, we split annual maintenance into two distinct offerings:
- Support Incidents
The right to use GMB's 1-800-Support service. The customer pre-buys incidents at $100 per incident. The customer also registers all allowed customer contacts and is given a PIN. The incidents lapse after 12 months from purchase. If an 'incident' turns out to be a GMB problem the incident is not used up. If an 'incident' is not due to a GMB software error, the incident is used up.
- Automatic Software Upgrades
This is the right to automatically receive software updates (new releases) for either a 1, 2, 3, 4 or 5 year period. These charges are heavily discounted to incentivise the customer to 'lock-in' to and invest in our products. The customer saves considerably over what it would cost to simply buy new releases as they are issued and also benefits from new features and protection from technological obsolescence. That is, it becomes GMB's job to make sure its software works within the rapidly changing IT environment.
- Upgrading Users
- Same rules as previously. Deduct the price for the existing licenses from the price of the requested number of licenses to get a net figure for a license upgrade.
Example:
A customer has 300 RecFind-Button licenses and wants to increase this to 400.
Use the price book program to calculate the price of 400 licenses, i.e., $21,264. Then calculate the price of 300 licenses (upgrade calculations are always done on the current price book, not on what the customer actually paid), i.e., $18,968. Deduct $18,968 from $21,264 to get the upgrade price of $2,296.
- Upgrading Products
- Same rules as previously. Deduct the price of the product the customer currently has from the price of the product the customer wants.
Example:
A customer wants to move from a 10-user RecFind-Professional license to a 16 user RecFind-Corporate license.
Use the price book program to compute the cost of both licenses, (upgrade calculations are always done on the current price book, not on what the customer actually paid), i.e., RP $9,183, RC $23,794. Deduct the RecFind-Professional license cost from the RecFind-Corporate license cost to get the upgrade price of $14,791
NOTE: No Credits, Refunds, Rebates
There are no rebates, no refunds and no credits. That is, there are no downgrades.
If a customer wants to drop licenses from say 16 to 10 or move from RecFind-Corporate to RecFind-Professional the customer does it at its cost. There will be no refunds from GMB.
Similarly, there are no rebates, refunds or credits for ASU's.
- Pro-Rataing ASU's
- When you upgrade the number of users or the product (e.g., Professional to Corporate) or add new products, you MUST also upgrade the ASU figure if the customer is under a current ASU agreement.
The objective is to have all ASU's for all products expiring on the same date.
- Calculate the number of months to go on the current ASU, e.g., 2.5 years = 30 months (Unexpired ASU)
- Calculate the amount of the software upgrade, e.g., $150,000
- Select the GMB ASU annual period (e.g., 1, 2, 3, 4 or 5 year) that is next greater than the Unexpired ASU, e.g., 3 years (36 months), (GMB ASU)
- Calculate the ASU for the upgrade using the next yearly period (e.g., as above, 3 years), e.g., $76,500
- The formula is: ASU dollars for new software * (Unexpired ASU period/GMB ASU Period)
- $76,500 * (30/36) = $63,750
Now all ASU's expire at the same time and the new licenses are also covered by an ASU.
- Flat Prices for over 512 user quotes.
- When the user wants a quote for over 512 users, please use the following 'flat' prices as follows:
- First calculate the price for 512 users using the program price book.
- Then multiply the number of users over 512 by the flat price.
- Add both prices together for the quote price.
Canadian Base Prices over 512 users
These are flat prices.
There is no further reduction in the incremental cost per user past 512 users.

Example: Prospect wants a quote for 1,000 RecFind-Corporate users.
- Use the program to calculate the 512-user price, i.e., $232,384.
- Multiply the balance (i.e., 488) by the flat price of $160, i.e., $78,080
- Add the two together for the total price of $310,464.
Note 1 ASU Calculation
No change, the 1 to 5 year ASU numbers are calculated on the same percentages. That is, 20%, 34%, 51%, 68%, 85%.

Note 2 No Flat prices for OLE 2.0 and HSSM
There are no 'flat' prices for the OLE 2.0 Engine or the High Speed Scanning Module (HSSM) because we don't anticipate anyone ordering more than 512 copies of these programs.
- Freight
- All GMB software products are quoted ex freight and shipping costs. The invoice will include an amount for freight and shipping. Please make sure you and your customer understand this.
